What are the insured services?

Insured services include:

  • Staffing services, such as: supplemental staffing, permanent placement of personnel, and placement agency administrative services;
  • Payroll and other third-party administration services;
  • Information technology services as follows:
    • The development, design, assembly, manufacture installation, modification, integration, servicing, supporting or repairing of computers, computer hardware, firmware and/or software, computerized networks, similar electronic information systems, Internet services, telecommunication and electronic equipment or devices;
    • The provision of computer-related, network-related or telecommunication-related consulting, analysis, programming, training or support;
    • The sale, leasing, licensing or distribution of computers, computer hardware, firmware, software, or telecommunication and electronic equipment or devices, including any other computer-related services provided for others;
  • Services rendered by temporary, contract, or leased placed personnel specified by your policy.

Are there any exclusions under the E&O component of the insurance program?

Insured services under the Professional Liability Insurance program do not include:

  • Any advertisement of the insured’s products, goods, or services as described below:
    • Staffing services, such as: supplemental staffing, permanent placement of personnel, and placement agency administrative services;
    • Payroll and other third-party administration services;
    • Information technology services, such as the development, sale, and provision of computer-related devices, systems, and services, as described under Insured Services;
  • Health industry services;
  • Services performed by a lawyer engaged in the practice of law;
  • Services performed by a stock broker;
  • Armed security services;
  • Engineering and architectural services unless (i) rendered under the supervision and guidance of a Professional Engineer (P.Eng.) or Architect and (ii) approved by such Professional Engineer (P.Eng.) or Architect hired by the entity that has contracted for such services with the Named Insured.

Please Note: Only your insurance policy can give actual terms, coverage, amounts, conditions and exclusions. Program availability and coverage are subject to individual underwriting criteria.

Are there any exclusions under the CGL component of the insurance program?

Under the Commercial General Liability program, your policy does not apply to “bodily injury”, “property damage”, or “personal injury” arising out of the following services or operations:

  • Long-haul trucking or delivery services;
  • Underground mining services;
  • Snow removal;
  • Armed security services;
  • Explosives services;
  • Oil rig services.

Please Note: Only your insurance policy can give actual terms, coverage, amounts, conditions and exclusions. Program availability and coverage are subject to individual underwriting criteria. You are encouraged to review the Common Exclusions with respect to Commercial General Liability, Personal & Advertising Injury, Medical Payments, Tenant’s Legal Liability, Non-Owned Automobile Liability, etc. found as part of your policy wordings.

How can I renew my policy?

In advance of your renewal, your PROLINK Account Manager will send you an email that contains a link to your renewal application. Most of your answers will already be pre-populated based on last year’s application. Please review all of the information to verify that it is still up-to-date and update any fields as needed. Once you submit your application, your Account Manager will advise you of the next steps.

How do I navigate PROLINK’s online application platform?

How can I request an Evidence of Insurance Certificate or add an Additional Insured to my policy?

To serve you better, we’ve introduced a self-service platform called “Certificate Exchange”. Access this platform any time, any place, to immediately generate your own Evidence of Insurance or Additional Insured certificates.

How can I request certificates that are not related to providing Evidence of Insurance or adding Additional Insureds?

Please contact your Account Manager directly.

Other than in the event of a claim, when else do I have to contact PROLINK or my insurance company?

Noted below are a number of reporting requirements that must be met to secure proper coverage for your organization. Upon notification of any of the changes listed below, PROLINK will promptly and appropriately notify your insurer(s) to ensure that all parties have a clear, accurate, and up-to-date understanding of the risk insured and coverage provided. Failure to meet these requirements, present information in full, or report any pending or completed changes may result in denial of your claim and/ or cancellation of your policy.

Please note: the information contained herein is a partial overview of your reporting requirements. It is not meant to be exhaustive. The specific terms of your policy will always apply. Please consult your policy or your PROLINK team for more detail.

  1. MISREPRESENTATION
    All facts regarding the operations, subsidiaries, joint ventures, services, property, products, or procedures of your business must be reported accurately and completely. This information will directly impact your coverage, rates, and premiums. Any attempt to conceal this information may result in denial of a claim and/or cancellation of your policy.
  2. MATERIAL CHANGE IN RISK
    Any material changes to your operations, services, products, property, automobiles or use of automobiles, drivers, or procedures must be disclosed to your insurer(s). Material changes also include any additions to existing property, contents, equipment, and operations that are already listed in your policy, as well as their appropriate value (to the best of your knowledge), which must be reported to your insurer(s).
  3. FINANCIAL INFORMATION
    Ensure that all financial information provided to the insurer(s) is relevant, accurate, and up-to-date. Include a breakdown of your organization’s revenues and/or your latest financial statements. Please note: your financial information will be kept completely confidential and used only for the purposes of securing insurance.
  4. CHANGES
    The first Named Insured in the policy is the only one authorized to make changes in the terms of the policy with the Insurer’s consent. The policy terms can be amended or waived only by endorsement issued by the Insurer and made part of the policy. You need to keep us informed of any changes in ownership. Relevant changes to your financial statements have to be reported as well.
  5. PROPERTY PROTECTION SYSTEMS
    Notify your insurer once you become aware that there is or will be an interruption to or defect in any: sprinkler or other automatic fire extinguishing system, fire detection system, and/or intrusion system. Additionally, be sure to report the cancellation or non-renewal of monitoring or maintenance services to the above listed systems.
  6. VACANCY
    Inform PROLINK about any property at locations which to your knowledge are vacant, unoccupied or shut down for more than 30 consecutive days. A building, which is under construction, will not be considered vacant. A building will be considered vacant when it does not contain enough personal property to conduct customary operations.
  7. NEWLY ACQUIRED/CONSTRUCTED BUILDINGS/LOCATIONS AND NEWLY ACQUIRED BUSINESS PERSONAL PROPERTY
    This coverage will cease 90 days from the date construction begins or from the date of such acquisition or on the date that the values are reported to us or on the expiration date of the Policy, whichever occurs first.
  8. LOSS PAYEES, MORTGAGES, AND ADDITIONAL INSUREDS
    Advise your insurer of any liens, leases, mortgages, encumbrances, or other instances of change in insurable interest to your property / automobiles / liability and/or requests to add a third party as an additional insured to your insurance policy.
  9. LEAKAGE OF POLLUTANTS
    Leakage of pollutants have to be reported: is reported to us within 365 days of the commencement of the spill, leakage, discharge, dispersal, seepage, migration, release or escape of the “pollutants”.
  10. CONTINUATION OF COVERAGE
    Inform PROLINK of any changes to insurers or underlying limits in Umbrella and Excess Liability policies which are not brokered by PROLINK or do not have PROLINK as the assigned broker.
  11. APPLICATIONS OF COVERAGE
    Complete all applications relating to the various coverages within your insurance program as requested by PROLINK and/or required by insurers. Applications must be filled out accurately and completely to the best of your knowledge and ability.
  12. POLICY ADJUSTMENTS
    Please speak with PROLINK to clarify or discuss any applicable policy adjustments made by your insurer, per your terms and conditions, to a policy in force for your organization.
