Job Description
As a Receptionist at PROLINK Insurance, you will provide administrative support to all employees while supporting our clients with their insurance needs. This is a full-time, in-office role, requiring availability five days a week.
Responsibilities
- Client Interactions:
- Serve as the first point of contact for callers and visitors, ensuring a welcoming and professional experience.
- Communication Management:
- Handle all incoming phone calls, voicemails, and emails, directing inquiries to appropriate contacts.
- Manage incoming and outgoing mail, courier, and packages.
- Office Support:
- Assist with ad hoc requests such as printing, copying, and scanning.
- Help IT with preparing and distributing computer equipment for remote workers.
- Order and maintain office and kitchen supplies.
- Manage meeting room bookings and ensure room readiness.
- Oversee kitchen cleanliness, including loading/unloading the dishwasher.
- Brokerage Support:
- Collaborate with the Broker Productivity and Education Team to handle policy documents, process claims notices, and invoice policy lines in our broker management system.
Education & Experience
The ideal candidate will meet majority of the following requirements:
- Education: Currently enrolled in Post Secondary Education, preferably in Business Administration or an Insurance-related field.
- Experience: Minimum one year of administrative experience (preferred).
- Skills:
- Strong organizational, time-management, and ability to multi-task;
- Proficiency in Microsoft Office products, especially Outlook and Excel;
- Excellent written and verbal communication skills with attention to detail.
- Softer Skills:
- Client-centric approach with a positive attitude and team-oriented mindset;
- Flexibility to support the team with various tasks as needed.
